Set a delay for each step

A quote sent calls for a follow-up after a few days; a first contact can wait a week. Define a delay for each status rather than a single rule.

Bring something with every follow-up

An answer to an open question, an example of past work, a time slot to talk it over: a useful follow-up does more than ask for news.

Know when to stop

After three follow-ups without a reply, put the deal on hold and schedule a check-in a few months later. The prospect is not lost, just not ready yet.
